Challenge

MediPlus Pharmacy handles over 900 prescription and OTC transactions daily across two branches. Operating on a basic retail POS with no pharmaceutical awareness, the pharmacy faced persistent stockouts of fast-moving medicines, expired inventory that went undetected until physically discovered during stocktaking, and no mechanism for flagging drug interactions or verifying prescriptions against dispensing history. Controlled substance logs were maintained in a separate paper register, creating audit risk. Staff turnover was high, and onboarding new dispensing staff was slow because there was no guided workflow. The pharmacy was also struggling to meet drug regulatory authority (DRAP) record-keeping requirements, with management concerned about compliance gaps during inspections.

02 Approach & delivery

ClickMasters deployed its Pharmacy POS with a pharmaceutical-specific product master containing over 18,000 SKUs pre-loaded with generic names, dosage forms, controlled substance classifications, and reorder parameters. The transition from the legacy system took four days, with product mapping handled by the ClickMasters data team. Prescription management was implemented with a digital log for every dispensed prescription capturing prescriber name, prescription date, quantity dispensed, and dispensing staff ID. Controlled substances were flagged automatically for mandatory dual-staff sign-off, with a digital log replacing the paper register. The system flagged any attempt to dispense a controlled substance above the prescribed quantity. An expiry management module was configured to alert pharmacists 90, 60, and 30 days before expiry for every batch in inventory, with FIFO dispensing enforced at the point of sale. Expired or near-expired stock reports were generated automatically each morning. Supplier integration was configured with MediPlus's four primary distributors, enabling electronic purchase orders triggered by reorder point breaches. Delivery confirmations updated stock levels automatically upon GRN entry. Average inventory accuracy improved within the first month. The drug interaction engine was activated for prescription dispensing pharmacists received real-time alerts when a dispensed item interacted with another medication in the patient's active prescription history. Patient medication history was stored per CNIC, enabling cross-visit continuity. Staff onboarding was reduced to one day per new hire using guided dispensing workflows and role-based access controls. Branch managers received consolidated daily reports on sales, inventory movements, expiry alerts, and controlled substance logs.
